Everything you need to know about shipping your commercial steam equipment to our depot and what to expect during the repair process. Covers Reimers, Hoffman, and other brand inquiries.

Step-by-Step Shipping Instructions

Please follow these steps to ensure your unit arrives safely and is processed without delay.

Before You Ship

    Request a quote first. Fill out our quote request form before shipping. We assign your unit a reference number and prepare for intake. Unsolicited shipments take longer to process.

    Drain all water completely. Remove all standing water from the boiler or steam generator. Tip the unit to drain residual water from ports. This prevents freeze damage in transit and reduces shipping weight.

    Secure or remove fragile fittings. Remove pressure gauges, sight glasses, and any protruding piping connections that could break in transit. Cap open ports with plastic pipe caps (available at any hardware store).

    Include a written description. Put a note inside the package with: your name, business name, phone number, email, the problem description, and your quote reference number.

    Pack securely. Use appropriate padding. Smaller units can ship in double-walled cardboard with foam padding. Larger units (over 50 lbs) should ship on a pallet via LTL freight with the unit secured and wrapped.

    Insure the shipment. Declare appropriate value with your carrier. We are not responsible for damage that occurs during inbound or outbound shipping. Consider freight insurance for higher-value units.

Parcel Shipping (Units Under ~70 lbs)

Small Reimers units can be shipped via UPS Ground, FedEx Ground, or similar parcel carriers. Use double-walled corrugated boxes. Fill void space completely — the unit should not shift inside the box.

Recommended for: Reimers compact boilers and steam generators under approximately 24" x 18" x 18" and under 70 lbs.

Freight Shipping (Units Over 70 lbs)

Larger Reimers boilers should ship via LTL freight on a wooden pallet. Secure the unit to the pallet with ratchet straps and wrap with stretch film. Use corner protectors.

Frequently Asked Questions

How long does the repair process take?

Our standard turnaround is 5–10 business days from the date we receive your unit. This includes bench inspection, diagnostic, repair, operational testing, and return shipping preparation. More complex repairs or units requiring non-stock parts may take longer — we will notify you with an updated timeline before we begin work. Rush requests are accommodated when possible; let us know your urgency in the quote form.

Do you provide a written quote before starting work?

Yes, always. We do not begin any repair work until you receive and approve a written quote. Our process is: (1) you request a quote online, (2) we provide a preliminary estimate, (3) after we receive and inspect the unit, we provide a firm final quote, (4) you approve or decline. If you decline, we return your unit unmodified. You will never be surprised by an unexpected invoice from us.

What Reimers equipment do you service?

We service all Reimers Electra Steam commercial boilers and steam generators within our depot service envelope. This includes electric steam boilers, once-through steam generators, and custom/OEM Reimers configurations across the full product line. If you have an older or unusual Reimers unit, contact us with the nameplate information and we'll confirm serviceability. Units too large or heavy to ship via standard ground freight carriers may require alternative arrangements — ask when you submit your quote request.

Do you repair other brands of steam equipment?

We currently accept depot repair for Reimers Electra Steam and Hoffman commercial steam equipment. For Reimers, we accept all models in the product line — full failure mode coverage. For Hoffman, please contact us with your model number first so we can confirm serviceability before you ship. Additional OEM lines are under evaluation — submit an inquiry for your brand and we'll assess demand and serviceability.

Do you service Hoffman commercial steam equipment?

Yes — we accept depot repair inquiries for Hoffman commercial steam equipment. The specific Hoffman product categories we service are being confirmed. Contact us with your Hoffman model number, serial number, and problem description and we'll assess serviceability within 2 business days. The same certified depot process applies: diagnose → quote → repair → test → ship. See our Hoffman service page for more detail.

Who pays for shipping?

The customer is responsible for all inbound and outbound shipping costs. You pay to ship the unit to us; we pay to ship it back to you and add the return shipping cost to your repair invoice. We use ground shipping for return delivery unless you specify otherwise. We can arrange freight shipping for large units on your behalf and add the cost to the invoice.

What if my unit is not repairable?

If our inspection determines the unit is not cost-effectively repairable (for example, severe pressure vessel corrosion or discontinued parts), we will inform you before proceeding. In this case, you pay only the diagnostic fee and we return the unit to you. We will also provide a written summary of our findings, which may be useful for insurance or replacement purposes.

Do you offer a warranty on repairs?

Yes. All labor performed at Keystone Steam Service is warranted for 90 days from the date of return shipment. If the same fault recurs within 90 days due to our workmanship, we will re-repair it at no additional labor charge (parts costs may apply if different components are affected). The warranty does not cover new failures unrelated to the original repair, damage caused by scale buildup, water quality issues, or improper installation.

Can you source OEM Reimers parts?

We source all repair parts through established commercial channels. For Reimers-specific components such as heating elements, control modules, and pressure vessels, we use OEM-specification parts where available. When OEM parts have long lead times, we may use compatible equivalents — we will inform you of any substitutions in the repair quote.

Do you do on-site service calls?

No. We are a depot repair facility — all work is performed in our shop in Dushore, PA. We do not offer on-site service calls. The depot repair model allows us to work in a controlled environment with proper equipment, which typically produces better repair outcomes than field service for most Reimers failure modes.

How do I know my unit arrived safely?

We email you an arrival confirmation when your unit is received and checked in at our depot, typically the same business day as delivery. This confirmation includes your reference number and a brief condition-on-arrival note. If you do not receive a confirmation within 2 business days of your expected delivery date, contact us at support@keystonesteamservice.com.

What payment methods do you accept?

We accept payment by check, ACH bank transfer, and major credit cards. Payment is due before return shipment. We will provide an invoice with your completed repair documentation. Net-30 terms may be available for established facility accounts — inquire when placing your first order.

Can I track the status of my repair?

Yes. We provide status updates at key milestones: unit received, diagnostic complete and quote sent, repair approved and in progress, repair complete and tested, and return shipment initiated with tracking number. If you need a status update at any time, email support@keystonesteamservice.com with your reference number and we will respond the same business day.
